**Admin** ======= ======= **Admin - Config** ------------------------- 1. **Question**: How do I allow Private Comments to be displayed on Purchase Orders? - **Answer**: In Admin Settings, under the Config tab go to the Purchases section and toogle the "Include private comments in exports (vendor export excluded)" button to Yes and update. 2. **Question**: How do I allow Private Comments to be displayed on Requisitions? - **Answer**: In Admin Settings, under the Config tab go to the Requisitions section and toogle the "Include private comments in exports" button to Yes and update. 3. **Question**: How do I set how much items are displayed on all Transaction list pages and the Inventory list? - **Answer**: In Admin Settings, under the Config tab go to the General Configuration section and under the General tab look for the "Items Per Page" field. The field would display how much items are currently displayed on the list pages. Remove the quantity and enter the new quantity and update. When you return to any of the list pages the amount of items displayed should be the same as the quantity entered in the "Items Per Page" field. **The same thing can be done on the view Stock Count page, just update the quantity in the "Stock Count Items Per Page" field.** 4. **Question**: How do I allow users to enter the date delivered once the Delivered button on a Purchase Order is clicked? - **Answer**: In Admin Settings, under the Config tab go to the Purchases section and toogle the "Allow selecting the delivery date for Purchases" button to Yes and update. Now when the user clicks the Delivered button, before confirming they can select the delivered date. 5. **Question**: Can multiple Authorization Managers be selected to authorize Requisitions, but only one authorization is required to change the Requisition status to Authorize? - **Answer**: Yes, in Admin Settings, under the Config tab go to the Purchases section and toogle the "Any selected manager can authorize Requisition" to Yes and update. Now when users send Requisitions for authorization all selected Managers would get the authorization email, however, the manager that clicks the authorize button first would change the status of the Requisition to authorize. **Please note once enabled the change would only apply to transactions sent for authorization after the feature was enabled. An user would only be displayed in the Authorization Lists if they have an email and Authorization permissions. Once the user is selected as an Authorization Manager, they would receive authorization emails. On every user's profile under the Reset Password section, once the user has an email the Administrator can click the "Send Reset Email" button and an email would be send to the user. The email is also required for the "Forget Password" feature on the login page to work. 2. **Question**: Why do users receive red screens when they try to login to the IMS-OS? - **Answer**: This issue occurs when the Two Factor Authentication feature is enabled on the user's profile. IMS Support team would have to edit the user's profile, disable the feature and update. Once the user tries to login again they should access the site. **If the user cannot access the IMS-OS they would not ba able to access the IMS Companion App.** 3. **Question**: What is process of deactivating an Authorization Manager user profile from the system? - **Answer**: - Before deactivating an Authorization Manager, the client must be notified that all transactions awaiting authorization from the user, must be returned to Open Status. - Once all transactions are at open status, the user's account can be deactivated. If there is a replacement for the user the replacement account can now be created and assigned to all the required users. - Once the replacement account is setup correctly and applied to all the required users those transactions can now be sent for authorization. - Once the transactions are sent for authorization the replacement should now be displayed in the authorization queue on each transaction. 4. **Question**: When creating a new user, why is a red screen displayed when users click the update button on the User Edit page? - **Answer**: - This issue occurs when the username entered for the new user is the same as a current user. It could be a case where both users have the same first intial and last name or the user was previously created and has been disabled or even still enabled. **To avoid the latter, always check the enabled and disabled user list before creating an user. If the first instance occurs you can add the second later of the users first name or the first letter of their middle name**
